Using the Positive Pay File Tool

How To: Generate a Positive Pay File

Environment: Enterprise (ver. 22.3.201.301 or later)

Security Requirements:

  • Payables
    • Open a Check Run

 

Overview

The Positive Pay File tool can be found in the check run window and is only available for Check Runs in the Completed status. The tool is disabled by default and will be automatically enabled once the Template file is saved into the correct folder. See Setting up the Positive Pay File Tool, for instructions on configuring the template file.

 

Using the Positive Pay Tool

  1. Click the Positive Pay button.

  2. Select the Format.

    Note: The list of available formats will come from the worksheet names in the Excel template file.
  3. Enter a filename for the Positive Pay file.

    Note: The system will save the file to your Documents folder, with the name PostivePay_##.csv where the ## will be replaced with the check run number.
  4. Click the Save button.

  5. Once the file is created the system will launch a file browser window showing the folder to which the file was saved.

 

Voided Checks

When you Cancel/Void a check in Enterprise, you will need to create and submit a new Positive Pay file to update the Bank's records. The Positive Pay File tool has the option to list only the voided checks in the file. To do this, select the Voided Checks Only option in the Positive Pay dialog.
