How to: Update costing in your project.

Understanding Project Costing

Up-to-date project costing is essential for accurate project cost and sell reporting. Comsense requires up-to-date costing to complete purchasing, invoicing, and project analysis. If your project costing is not up-to-date, Comsense notifies you with a dialog box. After you receive the project costing dialog box, you must update the costing in the Pricing window before proceeding.

Accessing Pricing

Advantage > Detailing > Pricing

Selecting the Project or Change Order with Out-of-Date Costing

In the Pricing window:

  1. Open the project
    • The Change Order List window will open listing the original project and any change orders
  2. Find the line item with an unchecked UpToDate Costing checkbox
  3. Select the line item

  1. Click OK

Updating Door & Frame Price Books

If manufacturers have released new door and/or frame price books, the New Pricebook Selection for Door and Frame Manufacturers window will open. 

If there are no door and frame price book updates, proceed with Updating Hardware Price Books.

For each manufacturer and product category, you must confirm if you want to keep the previous pricing by filling in the Is Price Protected? and Move Net To Adjusted Cost? columns.

Is Price Protected?

The Is Price Protected? column allows you to protect the old project costing from change when you update costing mid-project. If the costing remains the same, Select Yes.

Move Net To Adjusted Cost?

Unlike hardware price books, we do not maintain the previous door and frame price books. To keep the previous costing, you must move the net price to the Adjusted Cost column. If the pricing remains the same, Select Yes. If you Select No, the project loses previous costing. Move Net To Adjusted Cost applies to all categories of the manufacturer and cannot be updated individually.

Selecting Price Book Options

In the New Pricebook Selection for Door and Frame Manufacturers window:

  1. Select Yes or No in the Is Price Protected? field
    • All product categories will populate to the same by default

  1. Update the Is Price Protected? field for the other product categories

In the Move Net To Adjusted Cost? Column:

  1. Select Yes or No
    • All product categories will populate to the same by default

  1. Click OK

The door and frame price books are now up-to-date.

Updating Hardware Price Books

We maintain the previous and current hardware price books in our system. To update the hardware price books you must select which price book to use for each manufacturer.

In the Price Book Selection window:

  1. Click the Price Book Selected field

In the Price Book Selected drop-down list:

  1. Select Previous or Current
  2. Click OK
    • The Pricing window will update component costing

If there are no error messages:

  1. Click Save & Close
    • The Pricing window will update sales order stats

The project costing is now up-to-date.
